Send a referral for clinician review

Some practices want a clinician to be the one who sends. Where that is switched on, everybody else prepares the referral and hands it to the clinician, who checks it and sends it in their own name. Here is the handoff from both sides, and how an owner sets it up.

Your send button changed

Your practice can require a clinician to be the one who sends a referral. Where that is switched on, the referral form still belongs to you: you fill it in, choose the recipients, attach files, and name the clinician it is from, the same as before. What changes is the last step. Instead of sending it yourself, you hand it to that clinician, and they send it.

So the send button says something else now. Name a clinician on the form and it reads Send to, their name, then for review. Name nobody yet and it reads Save as draft, with Choose a clinician to send for review. underneath it.

Everything else about the form is unchanged, including your drafts, your attachments, and your recipients.

Hand a referral to a clinician

  1. In the sidebar, select New Referral.
  2. Fill in the referral as you usually would.
  3. In the first block, open Sending as and choose the clinician the referral is from.
  4. At the bottom of the form, select the send button, which now names that clinician.

A confirmation names the clinician and tells you the referral stays in your drafts until they send it. Syncroly emails them that a draft is waiting for their review.

When your practice has exactly one clinician who could send, Syncroly picks them for you and the Sending as picker stays hidden. The button names them anyway, so you can see who it is going to before you select it.

While it waits for the clinician

The referral sits in Referral Drafts until the clinician sends it, and both of you can still open and edit it. On your copy, the row carries a Waiting for line naming the clinician and the date it went to them. On that clinician's own drafts list, the same row reads Waiting for your review.

Editing the draft afterwards changes nothing about the handoff: it stays marked as waiting, and nobody is emailed a second time. To chase a clinician who has not looked at it, send it for review again from the form.

To move it to somebody else, open the draft, choose a different clinician in Sending as, and send it for review again. The first clinician stops seeing it as theirs to review.

A draft waiting for review is kept like any other, for 30 days from the last edit. Discarding it works the same way too. See Shared drafts.

If a draft is waiting for you

A colleague can prepare a referral and hand it to you to send. You get one email, A referral draft is waiting for your review, with a Review draft button that opens it. The draft is on your drafts list as well, marked Waiting for your review, so you can work from the list instead of the email.

  1. In the sidebar, open Sent.
  2. At the top of the page, select Drafts.
  3. Open the row marked Waiting for your review.
  4. Read what your colleague prepared, and change anything that needs changing.
  5. Select Confirm and send referral, or Send referral on a Choice referral.

The referral goes out in your name, the same as one you wrote yourself, and the draft leaves the list. Your colleague is not notified that you sent it; the referral is in Referrals Sent for everybody at the practice who can see it.

If it should not go out at all, discard the draft instead. Tell your colleague first, because a discarded draft leaves nothing behind.

To stop the email, turn off Draft sent to you for review in your notification preferences. Your drafts list still shows what is waiting for you, so nothing is lost. See Notification preferences.

Correcting a referral after it has gone

Once the referral is sent, you can still correct the details you own. Update details on the referral opens the correction sheet holding the patient and contact details, and on a veterinary referral the owner's information and the animal details too.

The reasons, the notes, and the clinical context are not in the sheet. A line in their place says that a clinician at your practice makes those changes. Ask the clinician who sent the referral, or anybody else at your practice who can send, to open the same sheet and make them.

Turn the requirement on

An Owner or an Administrator sets this for the whole practice. It is off until somebody turns it on, and it applies to every member who is not a clinician, administrators included.

  1. At the bottom of the sidebar, open the menu showing your name.
  2. Select Settings.
  3. In the settings sidebar, under Practice, open General.
  4. Scroll to the Who Can Send Referrals section.
  5. Turn on Only clinicians can send referrals.

It saves as you turn it on, and the change is recorded in your practice's activity log. The section is there once your practice has both a clinician and a member who is not one.

Turning it off puts everybody back to sending directly. Drafts already waiting for review stay where they are, and anybody who can send can send them.

Let one person send anyway

A practice can require clinician review and still trust one coordinator to send. An Owner or an Administrator grants that one person at a time, on the team page, while the requirement is on.

  1. In settings, under Practice, open Team Members.
  2. Find the person under Active Members.
  3. On their row, turn on Can send referrals.

They send referrals and correct every field, the way they did before the requirement was on. The switch is offered only on members who are not clinicians, because a clinician can already send, and only while the requirement itself is on.

Changing somebody's role takes the permission away. If they still need it in their new role, turn it back on.
