Send referral alerts to a practice email

A practice email is a shared inbox for referral alerts with Pro Solo or Pro Teams, including during an active trial or complimentary access. Practices using Front desk already have a practice email.

Set it up

Setting up or managing a practice email requires Pro access. Use it for a shared inbox, such as info@ or frontdesk@, that isn't already someone's sign-in. If your practice uses Front desk, you're already set: its sign-in address is your practice email, and you can skip to Choose its alerts. Each team member's own alerts stay as they are.

  1. In the settings sidebar, under Practice, open General.
  2. Scroll to the Practice Email section.
  3. In Practice email, enter the shared address.
  4. Select Send Confirmation.
  5. In that inbox, open the email from Syncroly and select Confirm Practice Email.
  6. On the page that opens, select Confirm.

Anyone who can open that inbox can confirm it, without signing in to Syncroly. Once confirmed, the inbox can receive alerts while your practice has Pro access. The link works for 72 hours, and each new link replaces the last one. A valid link can still confirm the address on Free, but it does not restart practice alerts. If it runs out, an owner or administrator with Pro access can select Resend Link.

Choose its alerts

The practice email gets New referral ready, Booking confirmed, and Referral updated, and every referral sent through your Get referred link, which has no switch. It does not get message alerts, or alerts about referrals your practice sends.

Once it is confirmed, you can turn any of the first three off for the practice email alone:

  1. In settings, under Preferences, open Notifications.
  2. Under Referrals you receive, find the alert.
  3. Turn off its switch in the Practice column.

These switches are shared by every owner and administrator.

Change or remove it

  1. In Practice Email, select Change Email.
  2. In New practice email, enter the new address.
  3. Select Send Confirmation.
  4. Confirm it from the new inbox, the same way as when you set it up.

Alerts keep going to the current address until the new one is confirmed. To keep the current address instead, select Cancel Change.

To stop sending alerts to the practice email, select Remove Email and confirm.

If your practice has a Front desk sign-in, that address is your practice email, so it cannot be removed. You can change it: once the new address is confirmed, Front desk signs in there with the same password, and anyone signed in to Front desk has to sign in again. To stop some of its alerts, use the Practice switches instead.

If its alerts are not arriving

Shared-inbox referral alerts are paused on Free. Your saved address and alert choices stay in place, but you cannot change them until Pro access returns. If you turned off your own alerts, review your notification settings in Notification preferences.

With Pro access, check the status beside the address in Practice Email:

  • Pending. Nobody has confirmed it yet. Select Resend Link and confirm it from that inbox.
  • Bouncing. Emails to it bounced, so its alerts are paused. Once the mailbox works, select Resend Link and confirm it again.

If it shows Verified, check Notifications for a switch turned off in the Practice column.

When Pro access returns, future alerts can resume if the address is verified, not bouncing and its alerts are on. Alerts missed during the pause are not resent.
