Create your account and set up your practice

Signing up takes an email address and a few minutes: create a login, enter the code Syncroly emails you, then answer four questions about your practice. Here is each screen, in order, and what each answer decides.

Before you start

You need a work email address you can open while you sign up, because Syncroly emails you a code you have to type back in. Use your own address rather than a shared practice inbox such as info@ or frontdesk@. Your login is personal, and everybody else at your practice gets their own. Setting up takes a few minutes, and you can stop part way and come back: Syncroly returns you to the step you left off on.

The account you create is a practice, not a personal profile. Whoever creates it becomes the practice Owner, so if somebody else should hold billing and ownership, it is less work for them to sign up than for you to hand it over afterwards.

Create your login

The sign-up page asks for your name, the email address you want to sign in with, and a password. The address you enter here is where Syncroly sends your verification code, and afterwards where referral notifications arrive, so use one you read. You cannot change it yourself later, so check it before you go on.

  1. On the sign-up page, fill in First name and Last name.
  2. In Email, enter the address you want to sign in with.
  3. In Password, choose a password of at least 8 characters.
  4. In Confirm password, enter the same password again.
  5. Check the box confirming you accept the Terms of Service and the Privacy Policy.
  6. Select Sign Up.

The page runs a short automated check that you are a person rather than a script, and Sign Up stays unavailable until it finishes.

If the page answers with An account with this email already exists., that address has a verified account. Use the sign-in link in the banner rather than signing up again.

Verify your email

Syncroly emails a six-digit code and opens Verify your email, with the address it sent to written on the page. There is no link to click in that email: the code is the whole verification, and typing it in this tab both verifies the address and signs you in.

  1. Open the email from Syncroly and read the six-digit code.
  2. On Verify your email, type the code into Verification code.
  3. Select Verify email.

If no email has arrived, check the junk or spam folder first, then select Resend code. If you mistyped your address, Back to sign in returns you to the sign-in page, and you can sign up again with the correct one.

Setting up your practice: four steps

Verifying drops you straight into setup. It is four steps, named across the top of every screen: Category, Specialty, Practice, and Location. Each one asks a single question.

If you close the tab, sign in again and Syncroly puts you back on the step you had reached.

Category and specialty

The first screen asks Welcome! What type of practice are you? and offers four cards: Dental, Veterinary, Mental Health, and General. Your category decides the words Syncroly uses with you, the reasons you can pick when you send a referral, and the clinical detail a referral can carry, such as a tooth chart for a dental practice or an animal record for a veterinary one. General is the catch-all for professional referrals that are not clinical.

The second screen, Select your specialty, narrows that down inside your category.

  1. On Welcome! What type of practice are you?, select the card that matches your practice.
  2. On Select your specialty, open Your specialty and choose the closest match.
  3. If you picked an option named Other, describe your work in Please describe your specialty.
  4. Select Continue.

Name your practice

The Name your practice screen creates the practice itself. Practice name is how other practices find you when they search for somewhere to refer to, so use the name on your door rather than a legal entity name. As you type, the screen previews the web address your practice will have.

The same screen carries your own professional identity: Title (optional) sets a prefix such as Dr., and Credentials is a short list drawn from your category, up to four. Both of these appear where your name is shown to the people you refer.

  1. In Practice name, enter the name other practices should find you by.
  2. Under Title (optional), choose a prefix, or leave it on No prefix.
  3. Under Credentials, select the ones that apply to you.
  4. Read the Business Associate Agreement, then check the box confirming you accept it.
  5. Select Continue.

The Business Associate Agreement is the agreement that lets your practice send patient information through Syncroly. It appears for dental and mental health practices. Veterinary practices are not asked for one. A General practice is asked first whether it creates, receives, or stores protected health information, and the answer decides whether the agreement appears at all.

Add your practice location

The last screen, Where is your practice?, records your primary address. Syncroly uses it to place your practice for other practices searching nearby, so it should be where people actually visit you.

Phone (optional) and Website (optional) are the contact details shown on your practice card when somebody you have been referred receives their referral. Both can be added later from practice settings.

  1. In Street address, start typing your address.
  2. Pick your address from the suggestions, which fills City, State, and ZIP / Postal code for you.
  3. In Phone (optional), add the number you want people to call.
  4. In Website (optional), add your practice website.
  5. Select Continue.

What to do next

You now have a practice you can send from. Two things are worth doing before your first referral. Fill in the rest of your practice details from settings, so the practices you refer to and the people you refer see a complete card. And decide who else at your practice needs an account.
